Data Protection in General
We recognise the need to comply with the various laws regulating the processing of personal data.
Data Protection Registration
We are not required to register with the Information Commissioner’s Office because of the exemption from registration for “not-for-profit” organisations. This exemption is however conditional on our adhering to the spirit of the Data Protection Act, which we do. This is one of the items on our “annual review” procedures list.
Control of EEBP Data
For the purposes of the legislation the EEBP is a Data Controller.
Personal Data Held
The only personal data we hold is the bare minimum for:
• Regarding EEBP personnel, for satisfying the statutory requirements of bodies such as The Charity Commission.
• Regarding existing and potential sponsors, the bare minimum regarding contact details.
• Regarding schools, the contact details of relevant school staff.
• Regarding customers and suppliers, the normal contact details necessary for a trading relationship.
Personal Data Regarding Schoolchildren
The only circumstances where we might encounter personal data are at events where we might, for instance, award participation or success certificates. In such circumstances we do not include them on social media postings of events. Photographs of schoolchildren are only ever accompanied by which school they attend.
Disclosure of Personal Data to External Parties
We have no reason, commercial or otherwise, to disclose personal data to outside bodies (apart from to statutory bodies in the normal course of dealing with them), and do not do so.
Use of External Parties Regarding Data
We use some assistance from Eastbourne Borough Council in helping us with bookings for the The Big Futures Show and with evaluation of post-show feedback.
